G Adventures’ Terms and Conditions

By booking a tour, you agree that G Adventures’ standard terms and conditions (the “G Adventures’ Terms and Conditions”) apply to your booking and are the terms and conditions applicable to the relationship between you and G Adventures. By purchasing travel via this program, you are entering into a contractual arrangement with G Adventures.

Make sure you read this information carefully and understand the G Adventures’ Terms and Conditions prior to booking. The G Adventures’ Terms and Conditions are subject to change.

GEEO Terms and Conditions

As a result of GEEO’s special relationship with G Adventures, GEEO has terms and conditions (“GEEO Terms and Conditions”) that apply to your booking as well and are terms and conditions applicable to the relationship between you and GEEO. The GEEO Terms and Conditions are below. By purchasing travel via this program, you are also entering into a contractual relationship with GEEO and accept the GEEO Terms and Conditions.

If there is a conflict between the G Adventures’ Terms and Conditions and the GEEO Terms and Conditions, the GEEO Terms and Conditions will apply. The GEEO Terms and Conditions are as follow:

You agree that under the relationship between you and GEEO, GEEO has all rights that G Adventures has under the relationship between G Adventures and you under the G Adventures’ Terms and Conditions in respect of any releases, disclaimers and assumptions of risk provisions and that GEEO is entitled to the benefit of such releases, disclaimers and assumptions of risk provisions. In the context of the relationship between you and GEEO, such provisions shall be read to apply to GEEO.

All prices for GEEO travel programs are based on double occupancy, which means two people to a room with twin beds. Single travelers are paired in twin or multi-share accommodation with someone of the same sex for the duration of the trip. If you wish to have a single room, many of our programs have an additional “My Own Room” fee which you can pay.

While your tour will be booked by GEEO, your payment for such tour will be made directly to G Adventures, unless GEEO instructs you otherwise.

While it is our intention to adhere to the route described, on occasion it may be necessary, or desirable to make alterations. Due to our style of travel and the regions we visit, travel can be unpredictable. Our itinerary is a general guide to the tour and region and any mention of specific destinations or wildlife or other attractions is by no means a guarantee that they will be visited or encountered. Additionally, any travel times listed are approximations only and subject to variation due to local or other circumstances.

1. TRIP CONFIRMATION

Notwithstanding the guaranteed departure provision in the G Adventures’ Terms and Conditions, GEEO programs need a minimum amount of people to depart. On rare occasions in our sole discretion, GEEO will cancel a program and refund participants if we have not reached our minimum number of participants 75 days prior to departure. DO NOT book your flights until GEEO has confirmed we have reached the minimum number of participants needed to run this program. GEEO and G Adventures are not responsible for any expenses you incur for purchases made before confirmation.

2. BOOKING & DEPOSIT

To confirm your space in a program, you must complete the GEEO booking form and pay a deposit. The standard deposit is $350 USD per traveler, and for Expedition trips such as Antarctica, it is $1000 USD per traveler. This deposit is non-refundable, but it is not forfeited upon cancellation; it becomes a Lifetime Deposit for future use. (Please see the Lifetime Deposit section below for full details.)

3. FINAL PAYMENT

For programs that begin before September 1, 2025, the remainder of payment is due no later than 60 days prior to departure.
For programs that begin on or after September 1, 2025, the remainder of payment is do no later than 90 days prior to departure.
For some programs, such as Australia, New Zealand, and Antarctica, final payment may be due earlier, as detailed on the program’s webpage.

4. CANCELLATION

You must submit your cancellation request in writing via email to travel@geeo.org. If you do not receive a confirmation that we have received your written cancellation request, please call us at +1 347-433-6674.

If you cancel your booking, the original deposit amount will be held as a Lifetime Deposit, which is kept on file for future use and never expires, as outlined in the dedicated “Lifetime Deposits” section below. The following policies apply to the remaining balance of your program payment.

A. For GEEO programs that begin before September 1, 2025:

  • If you cancel 60 days or more prior to the start of your program: All payments, excluding your deposit, will be refunded.
  • If you cancel between 30 and 59 days prior to the start of your program: You will receive a 50% refund of your payments, excluding your deposit.
  • If you cancel within 30 days prior to the start of your program: You will receive no refund of your payments, excluding your deposit.

B. For most GEEO programs that begin on or after September 1, 2025:

  • If you cancel 90 days or more prior to the start of your program: All payments, excluding your deposit, will be refunded.
  • If you cancel between 30 and 89 days before your program: You will receive 50% of your remaining program cost as a travel credit; alternatively, you can request a refund of the travel credit, minus a 2% administrative fee. The other 50% of your remaining balance will be forfeited as a cancellation fee.
  • If you cancel within 30 days before your program: The remaining balance of your program cost will be forfeited as a cancellation fee.

C. For Australia and New Zealand programs, the cancellation policy is as follows:

  • If you cancel 181 days or more prior to the start of your program: All payments, excluding your deposit, will be refunded.
  • If you cancel between 180 and 120 days prior to the start of your program: You will receive a 50% refund of your payments, excluding your deposit.
  • If you cancel within 120 days prior to the start of your program: You will receive no refund of your payments, excluding your deposit.

D. For Extra Services booked through GEEO/G Adventures, the cancellation policy is as follows:
Extra Services include Arrival Transfers, Pre and Post Night Accommodations, the “My Own Room” single/private room add-on, and any optional activities.

  • If you cancel 31 days or more before departure: You will receive a full refund.
  • If you cancel 30 days or less before departure: No refund will be payable.

Exceptions for Grant Recipients: Participants who receive grants through our university partners forfeit their deposits if they cancel. This policy is in place to reduce disruption caused by cancellations from grant recipients.

Additional exceptions to GEEO’s Cancellation Policy may apply.

5. LIFETIME DEPOSITS

We understand that travel plans sometimes change unexpectedly. That’s why we offer Lifetime Deposits—a flexible solution that protects your investment when you need to cancel your trip.

How Lifetime Deposits Work: If you cancel your booking (excluding cancellations due to nonpayment or breach of these Terms), your deposit will automatically become a “Lifetime Deposit” at no additional cost. A lifetime deposit:

  • Has no expiration date. Use your deposit 10 weeks or 10 years later.
  • Can be applied to any GEEO or G Adventures (public) program.
  • Is transferable. Give your deposit to family or friends by notifying us in writing.
  • Can only be used once, per person, per trip. Each confirmed booking earns one Lifetime Deposit.

Other Important Details:

  • Only your original deposit amount is saved as a Lifetime Deposit.
  • Lifetime Deposits have no cash value and cannot be refunded.
  • You can only apply one Lifetime Deposit per person per new booking.
  • Your Lifetime Deposit must be used toward a *new* tour booking.

Note: If there are any conflicts between this description and the Lifetime Deposits policy on G Adventures’ website, these GEEO Terms and Conditions will take precedence.

6. PERU INCA TRAIL – SPECIAL TERMS

The following terms apply to all GEEO programs that include the Inca Trail (Peru).

Lifetime Deposit and Cancellation Terms: When you book an Inca Trail tour, your $350 lifetime deposit is established, subject to the following cancellation terms:

  • 60+ days before departure: Lifetime deposit less $125 USD (Inca Trail Charge) will be held by GEEO/G Adventures; remainder of payments will be refunded.
  • 30-59 days before departure: Lifetime deposit will be held by GEEO/G Adventures; 50% of remaining payments will be refunded.
    Less than 30 days before departure: Lifetime deposit will be held by GEEO/G Adventures; no further refund will be payable.

Inca Trail Charge: The $125 USD Inca Trail Charge is non-refundable and applies in the following circumstances:

  • Cancellation of your Inca Trail tour (per cancellation terms above)
  • Switching from Inca Trail itinerary to Lares Trek or Non-Hiking itinerary
  • Changing to a different departure date of the Peru program
  • Name corrections on Inca Trail permits after initial submission

Passport Name Requirements: Inca Trail permits are issued by the Peruvian government and require exact passport name matching. The name you provide must match your passport exactly (including middle names, hyphens, and spacing). Any name corrections after initial permit submission will incur the $125 USD Inca Trail Charge, as we must request a new permit.

Permit Submission Deadlines: Inca Trail permits must be secured well in advance. Please provide your complete and accurate passport information within 7 days of booking to ensure permit availability. Late submissions may result in inability to secure permits.

7. PHOTO RELEASE

Grant of Rights: You agree to irrevocably grant to GEEO, together with GEEO’s licensees, successors and assigns (the “licensed parties”) the non-exclusive, absolute and unrestricted right and permission to record, reproduce, adapt, edit, copyright, publish, exhibit, distribute, perform and otherwise exploit by any and all uses and media, now known or hereafter devised, throughout the universe in perpetuity (collectively, “use”) your appearance, name, likeness and voice (collectively, the “likenesses”).

Scope of Use: This includes but not limited to likenesses captured by GEEO’s agents, employees, volunteers or other participants in GEEO’s tours (collectively, the “GEEO parties”), in and in connection with the tour in which you participate, including but not limited to, marketing and fundraising materials, and on GEEO’s website.

Release and Indemnification: Recognizing GEEO’s reliance on this Photo Release, you irrevocably release and hold harmless the licensed parties from any claims, damages or liability arising from or related to the use of the likenesses, including but not limited to, privacy, publicity, or defamation. You understand that, once the likenesses are used on websites, the likenesses can be saved and downloaded by any user, and you therefore agree to indemnify and hold harmless the licensed parties from any claims damages or liability arising from or related to publication of the likenesses.

Waiver of Rights: You hereby waive any right to inspect or approve the likenesses now or in the future, and you waive any right to royalties or other compensation arising from or related to the use of the likenesses.

8. DOCUMENTATION/ENTRY REQUIREMENTS

It remains the responsibility of the traveler to ensure that proper documentation is in place. All countries require a valid passport (with a minimum 6 months remaining validity). 9. MANDATORY TRAVEL INSURANCE

Travel medical insurance including personal medical as well as emergency evacuation and repatriation up to US $200,000 of coverage is compulsory. You will not be permitted to participate in the trip until your group leader/local representative has seen evidence of travel insurance coverage. You can also purchase cancellation insurance as well, which is something we HIGHLY recommend.
